IWP – Indian Wedding Planners (“IWP”, “we”, “us”, “our”) respects the privacy of everyone who visits our website, enquires with us, engages our services or attends a wedding we plan. This Privacy Policy explains what personal data we collect, why we collect it, who we share it with, how long we keep it and the rights you have. It is written to meet the Digital Personal Data Protection Act, 2023 and the Digital Personal Data Protection Rules, 2025 of India, the Information Technology Act, 2000 and its rules, and, where they apply to you, the UK and EU General Data Protection Regulations.

1. Who Is Responsible for Your Data

IWP – Indian Wedding Planners (GSTIN 08ADRPK7228E1ZA), 34, Sangram Colony, C-Scheme, Jaipur-302001, Rajasthan, India, decides how and why your personal data is processed and is the “Data Fiduciary” (or “controller”) for the purposes of this Policy.

2. Information We Collect

• your name and, where provided, your partner’s name;
• contact details: email address, phone number, and whether you are reachable on WhatsApp;
• wedding details: preferred dates, guest count, destination and venue preferences, ceremony type, approximate budget range and your preferred time to be called;
• your city or country of residence, and anything else you choose to tell us;
• your email address, if you subscribe to our newsletter.

When you engage our services: billing details such as billing name, address and GSTIN or PAN where required for tax invoices, and records of payments made to us. Bank or card credentials are never collected through our website forms.
About your guests, when you or your family share it with us for planning: guest names, contact details, RSVP responses, travel and arrival details, room allocations, and, where you ask us to arrange them, dietary or accessibility needs. For hotel check-in and statutory reporting we may need copies of government identity documents, and for foreign nationals, passport and visa details, as hotels in India are required to report foreign guests to the authorities.
Automatically, when you use our website: device, browser and usage information, pages visited, approximate location derived from IP address, and the source that brought you to our site, collected through cookies and similar technologies (see section 8).
Special care: ceremony type may indicate a religious affiliation, and dietary or accessibility requirements may relate to health. We collect these only because you choose to share them for planning your ceremony and hospitality, we use them for no other purpose, and we share them only with the hotel, caterer or vendor who needs them.

3. How We Use Your Information

• • respond to your enquiry and prepare a venue shortlist, indicative budget and proposal;
• • contact you by phone, WhatsApp or email about your enquiry, and schedule discovery calls;
• • plan and deliver your wedding, including coordinating hotels, vendors, guest travel, rooms and RSVPs;
• • issue tax invoices, receive payments and keep the accounting records the law requires;
• • send newsletters, offers or updates only where you have opted in; every such message lets you unsubscribe;
• • understand how our website is used, and improve our website and services.

Some of our first responses to new enquiries on WhatsApp and email are prepared with the help of automated and AI-assisted tools, and are reviewed or supervised by our team. We do not make any decision about you that has a legal or similarly significant effect based solely on automated processing.
Calls and planning meetings may be recorded or transcribed so that your instructions are captured accurately. We will tell you at the start when this is happening, and you may ask us not to.

4. Sharing Your Information

• Hotels, venues and vendors (for example caterers, décor, entertainment, photography and transport partners), once you have engaged our services or authorised us to approach them, and only the details each one needs.
• Service providers who process data for us, such as website hosting, email, cloud storage, WhatsApp messaging, CRM and analytics providers. They act on our instructions and are contractually required to keep your data secure.
• Professional advisers and authorities, such as our accountants, auditors and lawyers, and government or law-enforcement authorities where the law requires, including hotels’ statutory reporting of foreign guests.

We do not sell your personal data, and we do not share it with anyone for their own marketing.

5. International Clients and Cross-Border Transfers

Many of our clients live outside India, including in the United States, United Kingdom, Canada, the UAE and Australia, and some of our weddings take place outside India. Your data is managed by our team in India. Some of our service providers (for example email, cloud and messaging providers) store data on servers outside India, and for weddings abroad we share the necessary details with hotels and vendors in the destination country. Such transfers are made only as permitted under Indian law, and we take reasonable steps to ensure your data is protected wherever it is processed.
If you are in the UK or European Union: we process your data to take steps at your request before entering into a contract and to perform that contract; for our legitimate interest in responding to enquiries and running our business; to comply with legal obligations; and, for newsletters and non-essential cookies, with your consent. Where you share information that reveals religious belief or health, we rely on your explicit consent. You may lodge a complaint with your local data protection authority.

6. How Long We Keep Your Data

• Enquiries that do not proceed: kept for up to 24 months from our last contact, so we can assist if you return, then deleted or anonymised. You may ask us to delete them sooner.
• Client and guest planning records: kept for up to 12 months after your event for follow-up, final settlement and any queries, then deleted or anonymised.
• Copies of identity, passport and visa documents: deleted within 90 days after your event, unless the law requires us to keep them longer.
• Invoices, payment and accounting records: kept for the period required by Indian tax and accounting laws, currently up to eight years.
• Newsletter data: kept until you unsubscribe.

7. Security

We use reasonable technical and organisational measures to protect personal data against unauthorised access, loss or misuse, including access controls limited to staff who need the data, encrypted connections, and secure storage with reputable providers. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security. If a personal data breach affects you, we will inform you and the Data Protection Board of India as required by law.

8. Cookies and Website Analytics

Our website uses cookies and similar technologies. Essential cookies make the site and its forms work. Analytics cookies, including Google Analytics and Google Tag Manager, help us understand how visitors use the site. We may also use advertising measurement tools from providers such as Google and Meta to understand which of our campaigns bring visitors to us. You can block or delete cookies through your browser settings, and you can opt out of Google Analytics at tools.google.com/dlpage/gaoptout. Blocking some cookies may affect how the site works.

9. Your Rights

• obtain a summary of the personal data we hold about you and how we process it, and of the parties we have shared it with;
• have inaccurate or incomplete data corrected, completed or updated;
• have your data erased when it is no longer needed, unless the law requires us to keep it;
• withdraw your consent at any time, as easily as you gave it; this does not affect processing already carried out, but we may not be able to continue services that depend on that data;
• nominate another person to exercise your rights if you die or become incapacitated;
• have your grievances redressed, as set out in section 10.

We will acknowledge your grievance within 48 hours and resolve it within 30 days. If you are not satisfied with our response, you may complain to the Data Protection Board of India.

11. Children’s Privacy

Our services are intended for adults planning weddings and events, and we do not knowingly collect personal data directly from anyone under 18. Guest lists shared with us may include children; we process their details only for event logistics, on the basis of the consent of the parent or guardian who provides them, and never for marketing, tracking or profiling.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new “Last updated” date, and where the change is significant we will tell clients with an active engagement directly.
