Indian Wedding Planners (IWP) is a luxury destination wedding planning company h5eadquartered in Jaipur, with a second office in Mumbai. Founded by Anant Khandelwal, we specialise in royal and luxury weddings across Rajasthan, the wider Golden Triangle, the rest of India and international destinations. We have planned more than 200 weddings to date.

Twelve to eighteen months for a peak-season destination wedding. The constraint is rarely planner availability - it is venue inventory. Luxury properties across Rajasthan release peak-season dates well over a year ahead, and the most sought-after ones go quickly. If your date falls inside six months, talk to us anyway; we regularly deliver compressed timelines, though options narrow and pricing changes.
Yes. Many couples come to us with a venue booked and everything else open, or with several vendors confirmed and no coordination between them. We will review what is already committed, flag anything that needs renegotiating, and build the plan around it.

Yes, and it is increasingly common - a reception in one city and the wedding in another, or functions split across the Golden Triangle. It adds logistical complexity around guest movement and vendor travel, but it is entirely manageable with the right lead time.
It varies enormously with guest count, destination, venue and duration. As indicative all-inclusive ranges for a typical celebration: an intimate wedding of 50 to 100 guests over two days generally starts around ?1 crore; a premium wedding of 150 to 250 guests over three days runs roughly ?3 to ?5 crore; a large celebration of 300 to 500 guests over four days runs ?7 to ?10 crore; and whole-property buyouts for 500-plus guests exceed ?10 crore. These are starting points for conversation, not quotations.
Two things move the number more than anything else: décor ambition and entertainment. A large open lawn is a blank canvas, and dressing it fully costs substantially more than dressing a ballroom. A headline performer can add a figure comparable to the entire food and beverage spend. We build budgets around these two decisions first, because everything else scales predictably.
Either as a percentage of total wedding budget or as a flat management fee, depending on scale and scope. We share the fee structure clearly at proposal stage. In practice, a good planner frequently recovers their fee through hotel contracting and vendor negotiation alone.

Yes, and we prefer it. A defined budget lets us shortlist venues that genuinely fit rather than showing you properties you will fall in love with and then have to rule out. We will also tell you plainly if a guest count and budget combination is unrealistic for a given destination.
Payment is staged across the planning timeline, with terms set out clearly in your agreement. Specific schedules, cancellation terms and force majeure provisions are confirmed in writing at contracting stage.

We shortlist against four hard constraints - guest count, budget, date availability and travel practicality for your guest list - before we consider aesthetics. A beautiful venue that sleeps 100 is the wrong venue for a 300-guest wedding, however good it photographs.
Usually yes. Most luxury properties will hold a provisional date for a limited window, and we can often secure that while the rest of the plan comes together. For peak-season dates this is worth doing early.
Two options: a second property nearby for overflow accommodation, or a different venue. We are candid about which is realistic. In smaller markets such as Pushkar or Ranthambore, comparable luxury inventory is limited, so overflow guests may end up meaningfully further away or in a different class of hotel.
Broadly October to March across most of India, with November to February the strongest window in Rajasthan and North India. Avoid April to June, when temperatures regularly exceed 40°C and outdoor functions become impractical. July to September is monsoon - workable for indoor celebrations at lower rates, but it requires a genuine weather contingency.
Yes, and it is one of the areas where our hospitality background matters most. We handle venue sourcing, rate negotiation, contract review, room block management and the entire commercial relationship with the property. With more than 15 years in hospitality management behind us, we approach a hotel contract knowing where the pressure points sit and which terms are genuinely negotiable.
Directly. We contract with hotels through valid, direct relationships with their sales and revenue teams - no aggregators, no sub-agents, no layers between you and the property. That matters for three reasons: rates are not marked up by a middleman, commitments made to you are made by the people who can honour them, and when something needs escalating during your wedding week, we are calling someone we know rather than logging a ticket.
Usually, yes. Rates for luxury wedding buyouts are not published and are not fixed. What a property offers depends on your dates, their existing occupancy, your total spend and - candidly - how much repeat business the person negotiating brings them. A planner placing multiple weddings a year with a hotel group secures terms an individual family cannot access. Beyond headline rate, we negotiate the details that quietly shape your budget: complimentary room ratios, upgrade allocations, extended breakfast hours, corkage, early check-in and late checkout, and venue rental waivers against food and beverage minimums.
The terms that cause the most difficulty later are rarely the ones couples focus on. Watch the attrition clause, which penalises you if you release rooms you have blocked. Watch the food and beverage minimum and what counts toward it. Watch service charge and tax layering, which can add materially to a quoted figure. Watch cancellation and postponement terms, and what force majeure actually covers. Watch whether venue rental is waived, discounted or charged on top. We review all of this line by line before you sign.
Hotel packages typically cover rooms, meals and selected services only. Separate budget lines usually include planning fees, décor and floral design, mandap and stage styling, sound and lighting production, entertainment and artists, photography and videography, guest transfers, hospitality desks, RSVP management, welcome hampers, permissions and licences, makeup artists, priest and ceremony arrangements, and security. We set this out clearly at proposal stage so the hotel figure is never mistaken for the total.
You commit to a number of rooms across categories, typically at a negotiated rate, and release unsold rooms by an agreed cut-off date. The skill is in sizing the block correctly - too small and late-confirming guests pay open rates or stay elsewhere, too large and you carry the cost of unfilled rooms. We size blocks against realistic RSVP patterns for your specific guest list, and we manage allocation so families, elders and VIP guests are placed appropriately.
Postponement terms vary by property and are set out in your contract. This is precisely why we review cancellation and force majeure provisions carefully before signing rather than after. Where a change becomes necessary, our direct relationship with the hotel is usually what determines whether you get a workable resolution or a rigid one.
Yes. For guest lists that exceed a single property, for pre- and post-wedding stays, or for guests who prefer their own arrangements, we source and contract additional accommodation nearby and manage the logistics between properties.

Taj Devi Ratn comprises three wings – A, B and C, with a total inventory of 145 rooms, suites and villas.

For wedding groups, the hotel generally allocates a set of 2 Presidential Villas and 2 Grand Luxury Suites from the premium inventory. The remaining room and suite inventory can be discussed and contracted with the hotel during the initial planning and contracting stage, subject to availability and the group's requirements.
Taj Devi Ratn has an inventory of approximately 40 extra beds, along with a few day beds suitable for children aged 12–18 years. The applicable per-night charges, maximum occupancy by room category, and adult/child occupancy policy should be confirmed with the hotel.
In case of spillover, we generally assist in identifying good equivalent properties nearby, as per the wedding requirements. For Taj Devi Ratn, we have a few suitable properties nearby where guests can be accommodated in spillover scenarios, typically within 20–30 minutes from the property.
Taj Devi Ratn has a total inventory of 145 rooms, with a minimum commitment of approximately 130 rooms required for a full hotel buyout. The hotel generally retains a few rooms for operational requirements and does not commit the entire inventory to a wedding group. However, closer to the event date, the remaining rooms may be considered for the group subject to availability and should be reconfirmed with the hotel.
For large wedding groups, it is strongly recommended not to pre-assign specific room numbers during the rooming process. Instead, rooms should be finalised by category and guest grouping. Freezing room numbers in advance can create confusion and delays during bulk check-in; therefore, the hotel and planning team recommend allocating room numbers at the time of check-in for a smoother guest arrival experience.
Devi Ratn permits outside caterers but restrict visible branding — logos on live counters, staff uniforms, buffet signage — to protect their own in-house identity. Confirm what's allowed before finalizing an outside caterer.
Local municipal or hotel policy often sets a cut-off (commonly around 10 PM for outdoor spaces, later for enclosed ballrooms). Always Confirm the exact timing per venue so the run-of-show can be planned around it.
The use of SFX, pyrotechnics, or any fire-related elements is strictly prohibited within the premises of Taj Devi Ratn. Any special effects or fire elements must be discussed and approved with the hotel and planner in advance before being finalised.
Yes, the hotel requires the necessary sound/music licenses, and these are mandatory to be arranged and submitted to the hotel in advance for smooth execution of the event. The applicable licenses include Novex, IPRS and PPL. As the wedding planning company, we assist the client with coordinating and obtaining the required licenses.
The hotel generally allots the venue approximately 24 hours prior to the function to facilitate décor and other production requirements. However, for elaborate decor such as a mandap or stage build, confirm whether the hotel can hold the space exclusively the day before the function, and whether early allotment is complimentary or comes with an additional charge.
Yes Taj Devi Ratn provides buggy services for guest and luggage movement within the property. The number of buggies available and their operating hours should be confirmed with the hotel in advance, especially for wedding events and peak movement periods.
Clarify whether outside décor and production teams are permitted at all, any empanelment or prior-approval process required, applicable vendor fees, and equipment restrictions such as trussing, rigging, or weight loads on lawns and ballroom floors.
The hotel’s approval is required for any temporary structure or installation. Proper and detailed décor specifications should be shared with the hotel in advance, particularly for installations that may impact or cause damage to the property. Height, weight, footprint and installation requirements should be confirmed and approved by the hotel prior to finalisation.
The hotel provide documented process for wedding events — covering vendor coordination, security protocols, F&B service flow, and emergency procedures do’s & Don’t— so the planner's own checklist can be aligned with the hotel's system rather than working around it.
Recurring friction points worth planning around in advance, based on past events:
- Avoid Getting Verbal assurances from hotel sales teams— always get commitments in writing in the contract or a confirmation email. - Vendor entry delays at security due to incomplete ID or vehicle documentation submitted late — share the vendor and vehicle list well ahead of the stated deadline to avoid setup-day bottlenecks. - Disputes over final guest count and billing when walk-in or last-minute guests push numbers above the confirmed block — agree on a buffer percentage and how it's billed before the event. - Setup and strike timelines getting compressed when the hotel has a back-to-back booking in the same space — confirm exclusive access windows in writing, especially for elaborate decor installs. - Ambiguity over what counts as "included" versus "chargeable" surfacing only in the final bill — request an itemized inclusions list at the time of contracting. - Power and AV limitations only becoming apparent on setup day — request a technical walkthrough with the hotel's engineering team in advance for any heavy lighting, sound, or LED wall requirements.

Every vendor in our network has delivered at comparable scale for us before. We do not put a supplier in front of a client on the strength of a portfolio alone - we have seen how they perform under pressure, whether they hold a timeline, and how they behave when something goes wrong at 2 AM. Where we recommend someone new, we say so plainly and manage the risk accordingly.
Yes. If you have a photographer or makeup artist you want, we will fold them into the plan and manage them alongside our own network with no difference in coordination. We do not operate a closed list. What we will do is flag early if an outside vendor's scope, availability or logistics create a problem with the wider plan.
Our fee structure is set out clearly at proposal stage, and vendor costs are presented transparently. You will know what each element costs and what our involvement covers.
This is why contracts and site recces matter. We agree scope and deliverables in writing, check work against them during setup rather than after, and hold a contingency plan for critical functions. When a supplier falls short, resolving it is our problem, not yours - and our standing relationships are usually what get a replacement on site fast.
In markets like Pushkar, Ranthambore or Jaisalmer, most specialist vendors travel in from Jaipur, Jodhpur or Delhi. Their transport, accommodation and equipment logistics form part of the cost structure, and they need booking considerably earlier than in a major city. Our Jaipur base makes moving these teams efficiently a matter of routine.

Yes, and it surprises most couples. Loudspeaker and amplified music restrictions after 10 PM apply across India under noise pollution regulations, with limited state exemptions on notified days. Enforcement varies by location and venue, but it is real and it directly shapes how you plan a sangeet or after-party. We establish what is permitted at your venue early, and design the evening around it rather than discovering the limit at 9:45 PM.
It depends on the state, the venue's licensing and the date. Gujarat and Bihar are dry states. Rajasthan requires event permits for alcohol service. Pushkar restricts alcohol within town limits as a sacred site, though properties outside the municipal boundary generally operate differently. Dry days apply nationally around certain public holidays and election dates. We verify your venue's specific licensing position in writing before you plan a bar programme.
Drone operation in India is governed by DGCA regulations, and additional restrictions apply near monuments, airports and other sensitive areas. Around protected sites such as the Taj Mahal, drone use is effectively prohibited. Where drones are permitted, operators need appropriate registration and clearance. We confirm feasibility before your photographer plans around it.
Horses are common and generally straightforward at most venues. Elephants are governed by animal welfare regulations, and availability and permissibility vary considerably by state and venue - many luxury properties no longer permit them. We will tell you plainly what is possible at your chosen venue rather than promising something that falls through.
It depends entirely on location and current regulations, which have changed repeatedly through court orders. Some regions have significant restrictions - around the Taj Mahal in Agra, for instance, environmental protections tightly limit what is permitted. Alternatives such as cold pyro, drone light shows and projection mapping are widely used and often more effective on camera.
Depending on venue and scope: amplified sound permissions, alcohol service permits, fire safety clearances for production builds, police intimation for large gatherings, drone clearance where applicable, and site-specific permissions for photography at protected monuments. We handle applications and follow-up as part of full-service planning.
International payments are typically made by wire transfer under the Reserve Bank of India's Liberalised Remittance Scheme, or through your Indian bank accounts where you hold them. We provide the banking details, documentation and invoices your bank will ask for, and we schedule payment milestones with international transfer timelines in mind rather than assuming same-day settlement.
Vendor and hotel contracts in India are denominated in rupees. We present budgets in both INR and your home currency so you can plan, but the underlying commitments are rupee-denominated, which means exchange rate movement between contracting and payment sits with you. For weddings booked twelve to eighteen months out, this is worth discussing early - some families choose to convert in stages rather than all at once.
GST applies to most wedding services, including hotel accommodation, banqueting, décor and planning fees, at rates that vary by category. For remittances from abroad, tax collected at source may apply under the Liberalised Remittance Scheme depending on amount and purpose. If you have guests who use wheelchairs or have limited mobility, tell us at shortlisting stage and we will factor it into venue selection rather than trying to solve it afterwards.
Room allocation close to function venues, ground-floor or lift-accessible placement, buggies or golf carts for longer transfers, seating with backs and shade at outdoor functions, and heaters and shawls for winter night ceremonies in Rajasthan, where temperatures drop sharply after dark. Small things, but they determine whether your grandparents enjoy the wedding or endure it.
For larger weddings we arrange on-site medical support. For every wedding, we identify the nearest quality hospital and a doctor on call before the event, and our team handles transport and coordination if it is needed. This matters particularly in smaller destinations, where the nearest good hospital may be an hour away.
Jain, vegan, gluten-free, diabetic, nut-free and other requirements are handled through a written manifest shared with the kitchen well ahead of the wedding, not a verbal note on the day. We also flag rooms that need refrigeration for medication.
Yes. For weddings with a significant number of young children, we arrange supervised activity zones with trained staff, so parents can actually attend the sangeet. Many luxury properties also have kids' clubs that can be programmed around your function schedule.
Yes, alongside the main catering. This is worth doing properly - a four-day wedding where children have nothing they will eat becomes a problem for their parents and therefore for you.
Function layouts account for it. Pool access is supervised or restricted during events with children present, and haldi, havan and any open-flame elements are planned with defined safe zones. We raise this at design stage rather than treating it as an afterthought.
Yes. We arrange professional livestreaming with dedicated camera operators rather than a phone on a tripod, and manage the technical side - bandwidth, backup connectivity and stream monitoring. At remote properties, connectivity needs testing well in advance, since a venue's guest Wi-Fi is rarely sufficient for a reliable stream.
Within the limits of muhurat timing and daylight, yes. Where a ceremony falls at an impossible hour for family watching from North America, a high-quality recording delivered quickly is usually the better answer than shifting a sacred timing.

Yes, and Rajasthan offers exceptional locations - palaces, forts, stepwells, dunes and old city streets. We handle location selection, permissions, styling coordination, and scheduling around light.
Photography at protected monuments is governed by Archaeological Survey of India rules, with restrictions on commercial shoots, tripods and equipment. A couple's portrait session at a major monument requires advance coordination and, in most cases, formal permission. It is arrangeable - it simply is not spontaneous, and it needs planning weeks ahead rather than days.
Should we do the shoot on the same trip as the wedding?
If you are travelling from abroad, usually yes, but not in the wedding week. Ideally a few days before guests arrive, while you are rested and the schedule is still your own. Shooting the morning after a sangeet rarely produces the images couples hoped for.
Every outdoor function in our plans has a defined wet-weather contingency agreed before the wedding week - an indoor alternative, a marquee option, or a revised timeline. We set the decision point in advance, usually a fixed number of hours before the function, and name the person who makes the call, so nobody is debating it while guests are arriving.
We hold backup options for every critical function, and our relationships across Jaipur, Jodhpur and Delhi mean we can usually move a replacement team quickly. Vendors have contracted call times and check-in points during setup, so a problem surfaces hours before it becomes visible to you.
For winter weddings in North India, fog-related delays are common enough that we plan for them rather than react to them. That means buffer days in arrival schedules, rail as a fog-resilient alternative to flying, hospitality desks tracking arrivals in real time, and enough flex in the timeline to absorb late guests without disturbing a muhurat.
We identify the nearest quality hospital and a doctor on call for every venue before the wedding, and larger weddings carry on-site medical support. Our team handles transport, coordination and communication so the family can focus on the person who is unwell.
Backup power is a contracted requirement, not an assumption. We confirm generator capacity and switchover time with every venue, and for functions dependent on sound, lighting or livestreaming we specify independent backup for those systems rather than relying solely on the property's supply.
Postponement terms are set out in your hotel and vendor contracts, which is exactly why we review cancellation and force majeure provisions before signing rather than after. Where a change becomes necessary, our direct relationships with properties and suppliers usually determine whether you get a workable resolution or a rigid one. We manage the renegotiation on your behalf.
Security scope is planned against guest count, VIP presence and venue layout - access control, valet, baggage handling and coordination with venue security. For weddings with high-profile guests we plan movement routes and holding areas in advance.
Décor and production builds work with a venue's fire safety provisions, not around them. We check that exits, extinguishers and access routes stay unobstructed by staging, drapery and seating, and that any open-flame or pyrotechnic elements comply with venue rules and local regulations.
Should we take wedding insurance?
It is worth considering, particularly for large celebrations and international guest lists. Cover available in India varies in what it includes, and we can talk you through the options and coordinate with your provider.
Departure coordination - checkout assistance, baggage handling, airport and station transfers staggered across flight timings - plus final vendor settlements and reconciliation of the budget against what was contracted.
Timelines vary by vendor and are agreed in advance as part of their contract. Typically a small set of edited highlights within days, with full galleries and films following over subsequent weeks. We hold vendors to the agreed schedule.
